Scope and responsibilities
This policy covers visitors, administrators, instructors and candidates using Pracxa. Institutes normally determine the purpose of their assessments and use of candidate records. Pracxa provides the platform to process those records. Your institute’s privacy notice may also apply.
Information we process
Depending on the features used, information may include names, email addresses, phone numbers, institute details, registration fields, account preferences, submitted answers, scores, certificates and support correspondence. Technical records may include IP addresses, device and browser details, sign-in activity, timestamps, question time and security events.
Exam monitoring and evidence
When enabled by an institute, an exam may collect camera images or recordings, screen recordings, room-scan evidence and security alerts. Read the institute’s exam notice and permission requirements before starting. An automated alert is a review signal, not by itself a final finding of misconduct.
Why information is used
Information is used to deliver exams, save responses, score assessments, provide reports and certificates, secure accounts, support users, process configured billing and notifications, maintain audit records and improve reliability.
Email and WhatsApp
Where enabled and appropriately authorised, notifications can be sent by email or through Meta’s WhatsApp Business Platform. Delivery providers receive the recipient address or phone number and message content needed for delivery; delivery status may be recorded. Contact your institute or support to change notification preferences. Stopping messages does not delete assessment records.
Providers and authorised access
Institute staff can access records within their permitted roles. Hosting, storage, security, email, messaging and payment providers process information necessary for their services. Payment providers handle checkout details under their own policies; Pracxa receives transaction and subscription status. Information may also be disclosed where required by applicable law or to investigate abuse.
Browser storage and analytics
Session mechanisms and browser storage support authentication, preferences and service operation. The public website uses Cloudflare Web Analytics to measure website performance and usage. Browser controls may restrict analytics or storage; restricting essential storage can affect sign-in and exams.
Retention and security
Retention depends on the record, institute requirements, service operation and applicable obligations. Assessment evidence, billing, support and audit records can have different retention needs. Access controls and other safeguards reduce risk, but no online system is risk-free. Approved deletions may remain in backups until the relevant backup lifecycle expires.
Your choices and deletion
Contact your institute about candidate records, corrections or assessment decisions. Email support@pracxa.com for platform privacy enquiries, or follow our User Data Deletion instructions. Requests may require identity verification and institute coordination. Information needed for legal, security or assessment-integrity reasons may be retained; applicable limitations will be explained.
Younger candidates
Schools and organisations serving younger candidates are responsible for appropriate notices, required permissions and suitable monitoring settings. Parents or guardians can contact the institute or Pracxa about a child’s information.
Updates and contact
This policy may change as services change. The date above identifies the latest revision. Email support@pracxa.com with questions about this policy or your information.
